How Much Does It Cost to Book a Wedding Venue? What Couples Should Expect.

One of the first questions couples ask when planning their wedding is simple:

How much does it cost to book a wedding venue?

It’s also one of the hardest questions to answer with a single number.

If you’ve been researching venues online, you may have noticed that many venues don’t list full pricing publicly. Instead, they ask couples to send an inquiry.

This can feel frustrating at first — but there’s actually a good reason for it.

The truth is that most wedding venue pricing varies depending on the couple’s plans, guest count, and the extras they choose.

Understanding how wedding venue pricing works can help you plan your budget and avoid surprises later.

Why Many Wedding Venues Don’t List Full Pricing Online

Every wedding is different.

Some couples want a simple ceremony and dinner with close family. Others are planning a full weekend celebration with guests staying overnight.

Because of this, many venues structure their pricing around a base rental plus optional add-ons.

Things that can affect pricing include:

  • Wedding year (venues often raise prices over time)
  • Guest count
  • Optional upgrades or rentals
  • Vendor services
  • Additional event experiences

At The Meadows, for example, we currently offer introductory pricing for 2026 and 2027 weddings, while 2028 reflects our full standard rate.

Rather than posting incomplete numbers that might not reflect a couple’s actual wedding plans, we prefer to provide accurate pricing once we understand the details of your day.

What Is Usually Included in Wedding Venue Pricing?

Another reason pricing varies is because venues include very different things in their base packages.

Some venues simply provide the space, while others include furniture, décor, coordination, and planning support.

At The Meadows, the base venue rental includes exclusive access to the entire property for your full wedding weekend.

That means couples receive access from:

Friday at 10:00 AM until Sunday at 4:00 PM.

This gives couples time to:

  • Set up and decorate
  • Rehearse the ceremony
  • Enjoy the wedding day
  • Relax with guests after the celebration

Our base venue rental also includes several items couples often have to rent separately elsewhere, including:

  • A 40x60 high-peak marquee reception tent
  • Handmade 8-foot harvest tables
  • Matching benches
  • Checkerboard dance floor
  • Ceiling drapery and warm string lighting

Couples also receive access to the full property including the beach, forest, event field, gazebo, stage, campground, recreation centre, and washroom facilities.

Tip #1: Always Ask What’s Included in the Venue Price

One of the biggest mistakes couples make when comparing venues is only comparing the price — not what’s included.

A venue that appears cheaper at first may require you to rent things like:

  • Tables and chairs
  • Tents
  • Lighting
  • Dance floors
  • Planning support

Those rentals can quickly add thousands to your overall budget.

When comparing venues, always ask:

  • What furniture is included?
  • Are tents included?
  • Is coordination included?
  • Are planning materials provided?

Understanding the full value of what’s included helps you make a fair comparison.

According to wedding planning resource The Knot, venue costs are typically the largest portion of a wedding budget, often representing about 40–50% of total spending.

Tip #2: Look for Venues That Offer Full Weekend Access

Many wedding venues only provide access for one day.

That can create a stressful schedule where couples must set up, decorate, host the wedding, and clean up all within a few hours.

Weekend access allows couples to enjoy the experience at a slower pace.

At The Meadows, couples receive the property for the entire wedding weekend, which allows time to:

  • Decorate without rushing
  • Host rehearsal gatherings
  • Relax with guests
  • Take photos throughout the property

This type of access is especially valuable for outdoor venues where multiple spaces are used throughout the celebration.

Tip #3: Ask About Guest Accommodation Options

Another factor that affects venue value is whether guests can stay nearby.

When venues offer on-site accommodation or camping, it can make the wedding feel more like a full experience rather than a single-day event.

At The Meadows, guests have the option to camp on-site during the wedding weekend.

Tent sites are available at no additional cost, and electrical campsites are also available for guests bringing trailers.

This creates a relaxed atmosphere where guests can celebrate together without worrying about transportation late at night.

Tip #4: Consider the Experience — Not Just the Price

When choosing a wedding venue, couples are really choosing the experience their guests will have.

Outdoor venues often create a completely different feeling than traditional banquet halls.

At The Meadows, weddings take place in September and October, when the property is surrounded by fall colours and the campground season has ended.

This allows couples to enjoy the entire property privately while creating a relaxed, nature-filled atmosphere for their celebration.

For many couples, that kind of setting is exactly what they’re looking for.
